a brief word about our protocols and guidlines

Cancelled Programs

A full refund is issued if for some reason The Groove needs to cancel a workshop, course, retreat or studio session.

Materials purchased through The Groove for the cancelled program will also be refunded. 

Retreats, Courses and Workshops

deposit and payment

A deposit of 50% is required to book retreats and class sessions.

​

Payment is due in full for your booking at 30 days prior to your session and is not refundable from that time. 

participant cancellations

Retreat and Course or Workshop bookings may be cancelled with 90 days notice and a full refund of your deposit will be issued.

 

With less than 90 days notice, we will return your deposit once the booking has been replaced. 

​

We can work with you to reschedule where possible. 

Facility Rentals

damage deposit and payment

A refundable damage deposit of 50% is required for all facility booking contracts. The deposit is required to secure the reservation. 

​

The deposit, less any outstanding charges, will be refunded within 14 days from the conclusion of your event. 

​

In addition to the deposit, payment is due in full for your booking at 30 days prior to your event and is not refundable from that time. 

cancellations

Facility bookings may be cancelled with 90 days notice and a refund of your deposit will be issued.

insurance requirements

Certain higher risk events may require liability insurance to a minimum of $2 million. High risk events include wedding receptions, concerts or athletic classes. 

setup and cleanup

All groups are responsible for their own set up, take down and cleaning of the rented space.

Setup and cleanup is however included with our in-house catering and hospitality services available for any event. 

non-profit discount

A discount of 15% is offered on facility booking contracts for registered Canadian non-profit societies or groups.

Studio Services

deposit and payment

A deposit of 50% is required to book recording and studio services.

​​

The balance is due in full when the recordings are delivered.​

cancellations

The deposit is fully refundable, less any related preparatory expenses, up until the commencement of service.
